Pre-requisites

Jobs can be scheduled in PrintVis once Departments, Cost Centers, Capacity Units, Calculation Units, Planning Units, Calendars and Opening Hour Profiles are setup.

 

Opening Hours Setup steps

Step 1: Go into “PrintVis Opening Hour Profiles” page and check if all your Opening Hour Profiles have been setup.

To create a new profile, hit “New”:

 


Enter the Code and the Description: this is totally up to you how you wish to classify your opening time profile codes. Do not make the Code too long, as it will appear on the Opening Hours Setup page.

Style – changes the color of the code, just for visual reference. For example, “Favorable” will make the time appear in bold green.

Enter “Normal Time From” and “Normal Time To”. These will establish the scheduling time window that can be assigned to anu Calendar, on any day.


 

Step 2: Make sure the Calendar setup has been finalized. 
Go into “PrintVis Calendars” and check them out.
When a new Calendar gets created, it will not have anything in “Calendar Entries”.
The data will appear there only once we have assigned the Opening Hour profiles to this Calendar on the “PrintVis Opening Hours Setup” page (shown in the screenshot below)

 

Usually, each department gets its own Calendar. However, some departments may not need a Calendar at all, especially if we are not going to schedule any tasks performed there (for example, Accounting / Administration, Estimating, Production Planning, etc.) 

We would definitely have calendars for such departments as Prepress, Printing, Finishing, etc.

It is also entirely possible to have Calendars and Opening Hours profiles that are unique to certain groups of machines within the same department or even individual machines.

For example, diecutters are a part of the Finishing department, but if they operate on a different schedule, we can create a unique calendar and assign different Opening Hour profiles.

Step 3: Assign opening hour profiles to Calendars on the “PrintVis Opening Hours Setup” page


By clicking on the drop-down menu button on of these codes, we can see and select different opening hour profiles:

 

*** Notes: 
- Profiles for the past dates are not editable.
- If there is no profile assigned, PrintVis will not schedule any tasks that day.



Step 4: If you are re-assigning a different profile or assigning a new one, a change will appear in red at first:

 

 

That means this profile has been changed, but not yet applied.

Select that line and hit "Apply Changes" button located on the tool bar above – under “Functions”:\

 

When the data is no longer in Red, the hours have been successfully applied.

 

Step 5: If you are changing multiple profiles in multiple calendars, or adding totally new calendars, you will want to use the “Copy To Period” function.

First, make sure you have at least one full week populated and selected:
 

 

Keep the lines selected and click “Copy to period” button on the toolbar at the top:
 


A new screen will open. Make sure the “from” and “to” dates are entered for the current selected week (in red) and for the period you wish to copy to in blue):


If you are copying multiple Calendars at the same time, make sure the area marked in green is left blank, then enable “Apply changes” checkbox and hit “OK”

 


PrintVis will copy all Calendars forward up to the date you’ve specified.
Initially this may take a minute or two. As you accumulate more production data, this operation will take longer.

Note: These “Copy From Calendar” and “Copy To Calendar” are used if you are working with specific calendars only. For example, the setting below will copy all open hour profiles from PREPRESS department to PRINTING department only.
 

 

Step 6: The last important step is to always hit the “Apply All” button:

This step is recommended by PrintVis, it ensures that the new profiles have been applied across the whole system.

 

 

Stat Holidays

It is usually recommended to setup calendars for the year ahead sometime in September / October.

Once you’ve done the copying, you will need to “clear out” any weekdays the company will be closed on (usually statutory holidays).

There is no automated process to do this.
Select the day the company will be closed, then delete all profiles - one by one - from all Calendars:

 

 

Hit “Apply All” at the end of this procedure:
